Minutes 4/20/2011

ASWU

Minutes 4.20.11

I. Call to order 5.01 pm.

II. Attendance: David Hochstatter – Proxy for Sarah; Marina Garzo – proxy for Gabby; Natalie Moreno – proxy for Lindsay; Brittany, David, Eric, Jeff, Landon, Lindsay, Melinda, Patrick St, Patrick Y. and Sarah excused for first 30 min. due to Next year’s leadership retreat. Guests: Michael Oaks, Morgan Feddes, Andrea Glover, Laura Cardle, Tori Sullivan, Tyler Hamilton, Hannah Kinnier, Stacey Martin, Molly Spooner

III. Minutes

a. Motion to approve – Brian; 2nd – Becca. Passed.

IV. Lindy-FVP

a. Club Updates

i. Hawaiian Club – Stacey Martin

1. We just had our Luau, it was very successful with 650 ticket sales. Also we have weekly meetings

ii. Colleges Against Cancer – Molly

1. Just did Relay for Life and raised almost $10,000. There were 20 teams. We provided entertainment, and with help from ASWU, we served Pizza-Hut and Didier’s

b. Budget Meeting is over, so I will hand out a budget for everyone to look over. Major changes will be highlighted, but we will be approving this budget at a later meeting.

c. Requisitions

i. Jeff Podmayer –

1. Total $4903.06 – although I forgot about shipping, so maybe $123 (which is over $5000) If we take out a couple compasses

a. Backpacking backpacks – they ar made for wear and tear, so they will last. 12 for $3000

b. Sleeping bags – if they get wet, this synthetic material will stay warm. 12 for $1120

c. Sleeping Pads 12 for $180

d. Tents 2 for $460

e. Other supplies (water bottles, compasses, and dry sacks) for $156

2. It only cost $1600 to do Warren remodel, so can I use the leftover for shelving, hangars, clothes-lines?

a. Shelving 5 at $130 each

b. Clotheslines2 at $13

c. Backpack Racks, max $500

d. Total around $1000

3. Discussion: Elizabeth – since you have some extra from the other requisition, couldn’t you use that for shipping? Jeff – That’s a good thought, I ‘m not trying to skip the system, if you want to put it to a student vote, that’s fine. I looked into renting a backpack from REI, and it’s really expensive just for one item, even if you’re a member. David – would these be rented? Jeff – these wouldn’t. Josh – Have you run into problems with students not having equipment? Jeff – I’m not sure, but I always do say that it’s better if they do have equipment. Also, an RA came to me and wanted to have freshmen go out backpacking next year for teambuilding. So RAs could access it or Act6, or other groups who wouldn’t normally do things like this. Peter – How long do you think it would last? Jeff – Because it’s program equipment, and we can monitor the use, so I think it will easily last more than 5 years. Also, we will have ways to maintain it. This stuff is pretty standard stuff. Becca – what if you requisition for the major stuff, and just use the extra money for the smaller items, so that the shipping is all on the same bill. Jeff – Sure, however you want to split it up is fine. Marina – What kind of programs are accessible to students? Jeff – Multiple backpacking items (Jeff leaves) Meghan – It makes sense to further that space, but it doesn’t make sense to use it for a different requisition. Tyler – The original requisition was updating the closet, so applying the shipping here is a different requisition. So the shipping would go into this requisition. Amy – Wouldn’t we just be reallocating the money in the first place? Josh – Let’s vote on if we can allow him to use the money to update the closet, but we can’t let him use it for this shipping. Christine – Motion to vote on updating closet. Mandy – 2nd. Motion Passed. Josh – Adding shipping will put this over $5000. Becca – He said we could take off smaller items to keep it below $5000. Tyler – If your goal is to stay under $5000, give him the freedom to choose what he does and does not want. Josh – I think we should determine what he is buying. I would suggest dropping the bottles, compasses and dry sacks. Amy – If we just drop the water bottles, that would be fine. Josh – We would have to add the shipping to this amount. Mandy – Motion to approve top subtotal plus shipping and tax. Sam – 2nd. Motion passed.

ii. Cheerleading Mats - Hannah Kinnier and Melinda Leavitt

1. Currently we have 2 mats. We are asking for 4 more (they are often paired in groups of 2).

a. 4 mats at $259 = $1,036,

b. Velcro $69,

c. Shipping $228,

d. Total: $

2. The ACCA requires these mats for certain activities, and since our team is growing, we need to ensure safety. This would provide increased entertainment for students.

3. Discussion: Patrick S. – How many girls are on the squad – 12 this year and 15 next year. Bryce – You are the only one who does major stunts, so are there other people next year who could do that? Hannah – There is always a possibility that I’ll come back. Also, there are smaller girls next year who have potential to do flying. Elizabeth – So your current mats are in good condition? How long have you had those? Hannah – Yes, they are about 7 years old. Mandy – Was that price with tax? Hannah – Not that I know of. Josh – Is there no money in the cheerleading budget? Hannah – Our budget is extremely small, and we use it for uniforms. We can’t travel, but have been saving to be able to do that. Christine – Where does the budget come from? Hannah – I think athletic department and maybe Crimson Club. Josh – Did you ask the athletics department? Hannah – No. Lindy – If you were to ask, how likely would that be. Hannah – We are at the bottom of the totem pole, so not likely. (they leave) Lindy - After Jeff’s, we probably have $25,000. Donovan – I know a bit about cheerleading, and the fact that we only have 2 mats is ridiculous. They have started doing better stuff because of their new coach, and it will continue to get better. Bryce – They are probably necessary, but I don’t think it’s ASWUs responsibility to fund athletic departments. Patrick S. – Maybe there is another funding source? Christine – It worried me they hadn’t gone to the athletic department first. This is like the baseball team asking for more bats. Tyler – We have had previous requisitions from cheerleaders before because they are at the bottom of the list. And the athletic dept. wants to use money for other things. Cheerleaders won’t improve if they don’t have the tools to do it. Becca – It’s a safety thing for the students, and we do have the money to do it. There are plenty of others who could learn to do what she does, but the need to be able to practice. Donovan – They are at the bottom is because they aren’t considered a sport. Peter – I think they are necessary, but it would have been nice if they had asked the athletic dept. first. Elizabeth – They aren’t a club and they aren’t a sport, so they don’t really have a funding. Meghan – Hannah knows the system and would have known if she could be funded by the athletic dept. Cheerleaders are there for the students. Mary – A lot of similar size schools have a bigger cheerleading program, since we have the money, I don’t see why we can’t do that. Brittany – wat did the finance committee recommend? Lindy – we are torn, but thought it would be best if ASWU discussed it. We thought they should get funding, but is has to go through ASWU assembly. Do people want to table it to make sure they approach this with protocol? Patrick S – Also, they need to look into tax. Lindy – Straw vote to pass requisition. Eric – Motion to take a straw vote on passing the requisition. Brian – 2nd. Favor – 21. Against – 11. Christine – Motion to table this until she talks to the athletic department. 2nd – Mandy. In favor – 7; Against – 7. President breaks tie: Votes to table requisition. Requisition tabled

iii. Other award (because last week was missed) – Becca for Duvall Drive-In

VII. Bryce – Baseball and BBQ

a. We are getting things from Costco, but I need help grilling, and getting food prepared. Donovan can, Melinda, and Laura Cardle, David Dennis.

VIII. Coordinator Reports/Vibes

a. Andrea – BJ bash got turned down by Marisha Hamm because they are unsafe. She said you could get trampled, groped or electrocuted. So we are starting over

b. Mandy – Boppell made 121 cranes for children in Japan

c. Christine – Order off-campus t-shirts

d. Tyler H – I know you got budget today, 2 students wanted to charter a new club, having to deal with education reform. They will bring charter next week, but didn’t know about budgeting process. Since the budget is a proposal, voting members will be getting emails from members to be included in budget. That is something you can do.

e. Laura – Housing Lottery sucks

f. Lindsay – Cornerstone has exciting stuff…it’s a surprise

g. Michaela – Yearbook is officially finished, so we will have a distribution event in the HUB

h. Landon – Frisbee tournament is going on

i. Amy – Tomorrow at 7 the Sociology dept is putting on a program: 5 students from Gonzaga, originally from Saudi Arabia will be talking about their experiences

j. Meghan – Ballard printed t-shirts, and it was cheap and fun, so there will be another round. We are having a tea party soon, so we wanted to have fun with the stereotype, and want to invite Cornerstone to come.

k. Eric – During budget committee, we saw that Cornerstone is budgeted with Ballard and Mac, but they will not have a representative or senator. B-Mac is really excited for this merger, but communication is really hard, so I don’t think the Ballard senator can represent Cornerstone well. Total, it’s only 183 people, so we won’t get a representative.

i. Discussion: Eric – should we look into funding a rep? Brittany – Schumacher had a rep 2 years ago because we have re-zoned since then. Also I know that representing different buildings is possible. It’s part of the system you have to work with. Mandy – Why can’t we have a senator in Cornerstone? Josh – Cornerstone is now associated with Mac and Ballard, which isn’t enough people to have their own rep. Becca – The person running it isn’t from community, which is weird, because unless you live there, you don’t know how money should be spent. Tyler – I tried to change representation twice, which would cut out obsolete positions. The Cornerstone rep would have a $160 budget, but you are paying much more for representation. It’s just like the village not having their reps. ASWU has had 12 reps in the past, which was extremely dysfunctional. It made the EVP position next to impossible because of 1:1 scheduling. Meghan – As the Ballard senator, it is a valid concern, and it might be good to have Ballard represent Cornerstone, because it would force people to bring Cornerstone in. If they have a rep, they would be their own, separate identity. Sam – Part of our job as senator is to reach out to community, so a different building doesn’t mean we can’t represent them as well. As long as the senator does her job, they will be represented. Lindsay – I worked housing lottery Monday night, and nobody signed up for Cornerstone. Housing said they might put freshmen out there again. Upperclassmen can fend for themselves, but as a freshman, to be out there is not good. Ballard senator didn’t run with Cornerstone too, they just ran in Cornerstone. We are saying that Cornerstone is not it’s own dorm, but it is, and it needs to be represented. Mary – Because it is further off-campus, there need to be further measures to make sure their voice is heard. Josh – Eric will check with housing to figure out their plans

l. Jeff – Outdoor Rec has a new logo. Rockwall is all set for Springfest

m. Patrick – As ASWU members, you better recycle your stuff

n. Brittany – Pirate Idol is next week, then Dub Club in the HUB

o. Patrick S - House of Heroes concert tonight

p. Bryce - Baseball and BBQ this weekend

q. Elizabeth – After Hours is Tuesday at 9:15 at Branches, and we hang out with Beck. And they get a gift

r. Brian – Arend did service project on Saturday. Also Carlson men calendars are on sale. Senators, I sent you a blurb for your newsletters.

s. Becca – People are too lazy to recycle cardboard because it is outside, so I don’t know what to do about that. Also 120 people at Duvall Drive-In

t. Morgan – Beck wants as many seniors to go as possible.

u. Marina – There should be more information about recycling because I didn’t know what to do with recycling.

i. Discussion: Becca – I did a “how to recycle” newsletter, and they still don’t. Marina – That is still a good idea. But maybe a note: Cardboard is not paper. Morgan – Spokane doesn’t recycle cardboard, but Whitworth does.

v. Sam – “Happy Birthday to you…Eric”

IX. Motion to adjourn – Christine. 2nd – Lindsay
